Warehouse Clerk Academy
Receive, store, issue, and ship material with full traceability. 4 courses.
Course 1 · Warehouses & stock basics
Understand warehouses
Warehouses are the storage locations tracked by the app. Every inventory record belongs to a product and a warehouse.
Read inventory records
Open Inventory to see on-hand quantities, lots, and certificate references per product and warehouse.
Use the stock ledger
The Stock Ledger is the audit trail. Every movement in or out creates an entry; learn to read it.
Exercise
- List the warehouses and their products.
- Find one product's on-hand quantity and lot reference.
- Read the last three stock ledger entries for that product.
Completion criteria
- Warehouses understood
- Ledger read
- Quiz answered correctly
Course 2 · Receiving
Receive against POs
Log goods receipts against purchase orders, linking line items and capturing lot/batch data.
Run the receipt workflow
W31 routes receipt, quality control, and posts GR-IR. Confirm it completes before considering stock usable.
Put away
Update inventory locations so the stock is findable and traceable for issue.
Exercise
- Create a goods receipt for an open PO line with lot data.
- Run W31 and confirm posting.
- Verify the on-hand quantity increased.
Completion criteria
- Receipt logged with lot data
- Workflow run
- Inventory verified
- Quiz answered correctly
Course 3 · Transfers & adjustments
Transfer between warehouses
Create a Stock Transfer with source, destination, and lines, then run the Stock Transfer to Ledger workflow.
Adjust stock
For scrap, damage, or count variance, create a Stock Adjustment and run the Stock Adjustment to Ledger workflow.
Keep the ledger accurate
Every physical change must flow through a transfer or adjustment so the ledger matches the floor.
Exercise
- Create a stock transfer for 5 units between two warehouses.
- Run the transfer workflow and verify both balances.
- Create a stock adjustment for 1 damaged unit.
Completion criteria
- Transfer executed
- Adjustment posted
- Quiz answered correctly
Course 4 · Issue, ship & traceability
Issue components to work orders
Run WO-2 to issue work order components from inventory, creating ledger entries and reducing on-hand.
Ship to customers
Create Shipments from completed orders; shipping reduces inventory and posts COGS via W12.
Maintain traceability
Keep lot and certificate references on receipts, issues, and shipments so any unit can be traced end to end.
Exercise
- Issue components for one work order and verify the ledger.
- Ship a completed order and confirm inventory decreased.
- Trace one lot from receipt to shipment using the ledger.
Completion criteria
- Issue executed
- Shipment verified
- Trace demonstrated
- Quiz answered correctly
